How we use and protect your personal information
This policy explains what personal information Youstrology Ltd collects, why we need it and what happens to it. We may update this policy when our services, systems or legal obligations change. The latest version will appear on the relevant website with its effective date.
Youstrology and Born on the Cusp are trading names of Youstrology Ltd.
In this policy, “we”, “us” and “our” mean Youstrology Ltd.
Who we are
Youstrology Ltd is registered in England and Wales under company number 17129063. Our registered office is 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.

What counts as personal data?
Personal data is information about someone who can be identified. This obviously includes details such as your name and email address, but it can also include other information when it is connected to you.
For example, a birth time on its own may not identify anyone. When it appears in your booking, birth chart or report alongside your name or contact details, it becomes part of your personal data. The same applies to information about your career, business, goals and reasons for booking.
Information that has been fully anonymised so it can no longer be linked to anyone is not personal data.
What data we collect

Your name, contact details and social media handle where relevant.

Your date, time and place of birth where needed for your service.

Information about your career, business, experience, goals, motivations and reasons for booking.

Your booking, payment and invoice details. We do not receive or store your full card details.

Questionnaire answers, charts, reports, working notes, action plans and follow-up questions.

Emails, website messages and social media direct messages.

Zoom recordings, transcripts and AI-generated notes where these are used for your consultation.

Basic website information such as your IP address, browser, pages visited and cookie choices.

Information reasonably needed to manage a workshop or event.
You may sometimes mention sensitive personal information during a consultation. Please only share what you are comfortable sharing and what is relevant to the service. We will not use sensitive information for another purpose without a valid legal reason.
How we use your information
We use your information to:

reply to enquiries and arrange bookings;

prepare and deliver your consultation, report, reading, workshop or event;

send your report, recording and any agreed follow-up support;

manage cancellations, questions and complaints; and
-
send marketing only where you have agreed to receive it or the law otherwise allows it.
We mainly use personal information because it is needed to provide the service you have requested, meet our legal obligations or run and protect the business. Where we rely on your consent, such as for optional marketing or publishing a testimonial, you can withdraw it at any time.
We do not make important decisions about you entirely by automated means. Technology including AI may help us with administration, transcription, design or analysis, but a person remains responsible for the service you receive.
Consultation recordings
Online consultations are normally recorded so you can watch them again afterwards. Zoom may also create a transcript or AI-generated notes to help us prepare your report and follow-up.
Your recording will usually be shared through an unlisted YouTube link. It will not appear in public searches, but anyone you share the link with may be able to watch it.
If you would prefer not to be recorded, let us know before your consultation.
We may also keep the original recording in Dropbox during the retention period shown below. Once the recording has been transferred and checked, any additional Zoom cloud copy can be deleted.
Who we share information with
We use trusted services to run the business and deliver your booking. These currently include Wix and SimplyBook.me for our website and bookings; Stripe for payments; Zoom for consultations; Gmail, YouTube and other Google services; Canva for reports; Dropbox for client files; Tide for banking and invoices; Instagram or other Meta services when you contact us there; and OpenAI’s ChatGPT to help with analysis, drafting and administration.
We only share what is reasonably needed. We may also share information with an accountant, insurer, professional adviser, venue or public authority where necessary. We do not sell your personal information.
Some providers store or process information outside the UK. Where this happens, we use providers that have appropriate legal safeguards in place to protect it.
How long we keep it
We do not keep everything for the same length of time. We normally keep:

Enquiries that do not lead to a booking for up to 12 months after our last contact.

Questionnaires, reports, charts, working notes and client correspondence for up to two years after the service ends.

Zoom recordings, transcripts, AI notes and unlisted YouTube videos for up to two years after the consultation, although we may delete them sooner.

Booking, contract and complaint records for up to six years where needed to protect our legal rights.

Invoices, payment information and accounting records for six years after the end of the relevant financial year.

Marketing details until you unsubscribe or we stop using the mailing list.
We may keep information for longer if there is an ongoing complaint, a legal requirement or another clear reason. When we no longer need it, we will delete it or anonymise it.
How we protect it
We use password-protected devices and accounts, two-factor authentication where available, access controls and reputable cloud services. We limit access to people who need the information. No online system is completely risk-free, but we take reasonable steps to prevent loss, misuse and unauthorised access.
Your rights
Depending on the circumstances, you can ask us to:

give you a copy of your personal information;

correct information that is wrong or incomplete;

delete or restrict the use of information;

stop using information for direct marketing or object to certain other uses; or

provide certain information in a portable format.
Some rights have legal exceptions. Email youstrology@gmail.com to make a request. We may need to confirm your identity and will normally respond within one month.
Cookies and other websites
Our websites use essential cookies and may use optional analytics or marketing cookies. Where required, the cookie banner lets you choose whether to allow non-essential cookies. Links to other websites are covered by those websites’ own privacy policies.
